  • Overview

    The Receptionist will undertake reception duties and a number of general administrative tasks to help maintain a smooth and efficient office.

    Responsibilities

    Reception Coverage

     

    • Manage phone calls and forward on as needed

    • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

    • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

    • Print out welcome signs for customer visits and greet and welcome guests upon arrival

    • Advise respective staff of visitors’ arrival and direct them to the right meeting room or office

    • Manage meeting room bookings/scheduling and ensure meeting rooms are tidy after use

    • Activate and disactivate alarm systems at Via Augusta 158 & Via Augusta 117 respectively

     

    General Office Administration

     

    • Manage, date stamp and distribute all incoming and outgoing post and couriers

    • Create and update shipping & delivery records

    • Assist in planning and arranging events, including organising catering

    • Empty suggestion boxes and taking pictures of suggestion walls once a week

    • Ad-hoc administrative duties, including running errands

    • Participate in ongoing special projects

     

    Supplies

     

    • Produce stationery inventories to ensure all stock is up to date

    • Top up printers and photocopiers with paper as needed

    • Order toners and cartridges for printers when needed

    • Arrange pick up of recycling containers

    Basic Qualifications

    • Graduation from high school or possession of a high school equivalency diploma

    • Previous administrative/reception experience

    • A Bachelor’s Degree* may be substituted for previous administrative/reception experience

    • Excellent written and verbal communication skills

    • Proficiency in Microsoft Office Suite (Word, Excel, Powerpoint etc) Personality profile:

    • Excellent organizational skills

    • Able to prioritise a changing to-do list and complete complex administrative tasks with minimal supervision

    • Excellent attention to detail

    • Professional attitude and appearance

    • Polite telephone manner

    • Ability to multi-task and prioritize projects

     

    Available to work Monday to Friday, from 17:00h - 02:00am (Night Shift), in office in Via Augusta 117, 08006 Barcelona.

     

    Must be a holder of a Disability Certificate - minimum 33%.

    Fluent English
    Fluent Spanish
